Dear District XII Band and Orchestra Directors,
Here is information regarding the VBODA District XII Solo and Ensemble Festival. The Festival will be held at Thoreau Middle School on Friday, April 11th (Strings) and Saturday, April 12th (Winds and Percussion). Please read the registration procedures carefully! Deadlines need to be followed:

Director’s Financial Form
One check to cover your student fees
Copy of MENC card or $97.00 non-member fee
DUE MARCH 14, 2008:
Online registration of all student events - Entry Form
MARCH 14, 2008 is the last day to EDIT student entries.
Registration:
- Individual directors will do all student registrations online.
- Log on to Solo and Ensemble Website
- http://solofestival.com
- Select the Music Director button on the left.
- One band and one orchestra director from each school will have access to the individual registration information which can be updated.
- The final date for entering student registration online is MARCH 14.
Accompanist registration:
- Takes place online.
- Cal Kilgore will send e-mails to all those who have served as accompanists in the past.
- Accompanists should be directed to the above listed website to register as soon as possible.
- Students can be added or deleted up until one week prior to Festival; however, accompanists should list all of the students they are aware of by MARCH 14.
Registration Guidelines:
- Copy the enclosed student registration form for distribution to your students. One form should be completed for each event.
- Directors will collect registration forms and festival fees from their students and complete the online registration for each event. Individual student registration forms should not be sent to Thoreau Middle School.
- Check for accurate spelling, especially if a student is participating in more than one event. Inconsistent spelling can lead to scheduling conflicts.
- List the grade of the piece if it is listed in the VBODA manual. If a piece is not listed in the manual, enter it as Ungraded.
- Be sure to list the private teacher’s name. This is important to avoid having a student assigned to a room where their teacher might be judging.
Fees: The following items should be sent to Thoreau MS
by MARCH 10, 2008.
This is a firm DUE DATE. (Please note that this deadline comes BEFORE the registration deadline for entering student information online.)
- Complete the enclosed Director’s Financial Form
- Include ONE check from your school for the total amount due. Personal checks and cash will not be accepted.
- Include a photocopy of your MENC card showing the membership number and expiration date.
- If you are not a member of MENC, you must include a non-member fee of $97.00.
Festival Reminders:
- A student must have a piano accompaniment for solos (or other works) that require a piano part. A student may perform with a tape/cd recording of the piano accompaniment, but must provide his/her own tape recorder/cd player. A student will not receive a rating if they perform without the required piano accompaniment.
- Two copies of the score are required. Judges should be given an original copy. District XII representatives will not be held responsible for copyright violations.
- The judge’s score must have the measures numbered.
- Students will not receive the adjudicator’s sheet or their rating at the time of the performance. Ratings will be posted in a central location shortly after the student’s performance. Adjudicator’s sheets will be forwarded to the respective band or orchestra director a few days following the event.
