  1. Membership Coordinator-1 Family
    1. Receive membership applications from the Membership Facilitator.   Upon receipt conduct orientation with all adults listed on the application, to ensure all Koinonia policies and procedures have been read and understood.  Also, during the orientation, deal with any omitted or unclear information on the application.  If it is clear to the Membership Coordinator that the applicants have met all the requirements for membership, the application is approved.  If the Membership Coordinator has any concerns about the application, then the application should be brought before the entire group at the next monthly meeting for discussion and a vote.  An affirmative vote of 2/3 of the votes cast is required for the application to be accepted.   
    2. Notifies applicant family of their approved/unapproved status.
    3. Assist and encourage the Membership Facilitator, Secretary, and Treasurer. 
    4. Assist Membership Facilitator in filling open jobs.
    5. This position requires a great deal of personal interaction with people inside and outside the group, so the applicants for this position should possess excellent interpersonal and communication skills.
    6. Must attend Annual Membership meeting.

 

  1. Membership Facilitator-1 Family
    1. Collect and review all Membership applications for compliance to Koinonia’s Policies and Procedures handbook and submit to Membership Coordinator.  Note any omitted or unclear information on the application for the Membership Coordinator to review.

b.      Provide New Member packets to prospective new members as requested.

c.      Compile and maintain a master list of all current Member Families for the Membership Directory.  Provide address updates to the newsletter typist.

    1. Provide monthly mailing labels for the newsletter.
    2. Provide email addresses of members to Webmaster.
    3. Maintains Jobs list and recruits members to fill jobs. 
    4. Must attend Annual Membership meeting.

 

  1. Secretary-1 Family
    1. Take minutes at each Monthly Group Meeting.
    2. Maintain the official copy of the Koinonia Handbook.
    3. Type up the monthly Family Day meeting minutes and provide the minutes to the Mailing Facilitator and Website Facilitator at the next park day after the monthly family meeting.  If possible email the minutes to the Website Facilitator.  Please provide a hardcopy for the Mailing Facilitator.
    4. Maintain and routinely check a post office box for incoming mail for the group.
    5. If the Secretary is unable to make a meeting, they must get someone to take the minutes for that meeting. 

 

  1. Treasurer-1 Family
    1. Responsible and accountable for all incoming and outgoing Koinonia funds in either cash or check.
    2. Keeps a detailed register of all Koinonia receipts, disbursements, and deposits.
    3. Must deposit monies weekly.
    4. Reconciles the monthly bank statement with the Koinonia register to ensure the register is accurate and the account is balanced. 
    5. Provide a summary of the Koinonia account at each of the monthly meetings.            
    6. Provide a summary report of the Koinonia account to present to the membership at the Annual General Business Meeting.      
    7. The Treasurer and The Membership Coordinator shall be authorized signatures on the signature card for the Koinonia account.   

  

  1. Communications Coordinator-1 Family
    1. Responsible for communicating to groups and people outside of Koinonia.  All new outgoing correspondence must be reviewed and approved by the group during a regularly scheduled monthly meeting.  A 2/3 affirmative vote of the votes cast is needed for approval.
    2. Assist and encourage the Newsletter Editor/Typist, Web Page Facilitator, Mailing Facilitator, and Prayer Facilitator.   
    3. Oversees all forms of communication with the Koinonia Member Families concerning activities, events, alerts, etc. 
    4. Coordinate all required inputs, special articles, announcements, and other information as required from each of the Koinonia Coordinators and Facilitators as required for submittal by appointed deadline each month.  Basically, pass on any information to be published in the newsletter, to the Newsletter Typist by the 2nd Park Day of the Month.
    5. Mediate unresolved conflicts between members.  The Communications Coordinator is not the final arbiter of conflicts, but acts as a neutral party to enable the members to work through their differences.       
    6. This position requires a great deal of personal interaction with people inside and outside the group, so the applicants for this position should possess excellent interpersonal and communication skills.
    7. Must have email.

 

 

  1. Newsletter Editor/Typist-1 Family
    1. The newsletter will be distributed at the beginning of each month.  It will contain information about fieldtrips, meetings, and special functions.  The newsletter will also keep the members updated on what’s going on in the community.  I.e.; Family news, prayer requests, etc.      
    2. Collect from the members all information related to activities important to the Koinonia community and generate a monthly newsletter to communicate material in an efficient manner.
    3. Submit the completed newsletter to the Communications Coordinator, the Website Facilitator, and Mailing Facilitator at the 3rd Friday Park Day of the month or as determined by the Communications Coordinator.  Please email the newsletter to the Website Facilitator and provide hardcopy for the Mailing Facilitator.
    4. A newsletter will be produced August through May.
    5. Requires Email.

 

  1. Web Page Facilitator-1 Family
    1. Collect information related to all Koinonia activities of interest and maintain an updated Web Page to communicate information in the most efficient method possible to all Koinonia Member Families and other interested parties.
    2. Post the newsletter to the Koinonia website within 5 days after receiving the newsletter.
    3. Emails the newsletter to all members within 5 days after receiving the newsletter.
    4. Post the minutes from the Monthly Family Day meeting to the Koinonia website within 5 days after receiving the minutes from the Secretary.
    5. Emails the minutes from the Monthly Family Day meeting to all members within 5 days after receiving the minutes from the Secretary.
    6. Requires Email.

 

  1. Mailing Facilitator-1 Family
    1. The Newsletter Typist will deliver a hardcopy of the newsletter to the Mailing Facilitator on the 3rd Park Day of the Month. 
    2. Assembles the final approved copy of the Newsletter.
    3. Print and prepare sufficient copies of the monthly newsletter for each member family.  Label one copy of the newsletter for each member family and then bring the copies to the Monthly Family Day Meeting, which is held on the Saturday after the 4th Friday.  Any copies of the newsletter that are not picked up at the monthly Family Day meeting should be collected and mailed.  Left over newsletters should be mailed within 5 days of the monthly Family Day meeting.
    4. The Secretary will deliver a hardcopy of the minutes of the monthly Family Day meeting to the Mailing Facilitator, on the next Park Day following the monthly Family Day meeting.
    5. Print and prepare sufficient copies of the minutes of the monthly Family Day meeting for each member family.  Label one copy of the minutes for each member family and then bring the copies to the next Park Day.  Any copies of the minutes that are not picked up at Park Day should be collected and mailed. 

 

  1. Prayer Facilitator-1 Family
    1. Leads prayer at all activities
    2. Collects prayer requests and submits them to the Communication Coordinator and Newsletter Typist.
    3. Will take phone calls regarding prayer needs inside the Koinonia community. 
    4. Communicate Emergency prayer needs to the community for immediate action.  (Emergency is considered an immediate family member who is very sick or injured.  Matter of life and death.) 
    5. Coordinate any services that are needed for a member family in need.  (Meals, house cleaning, childcare, etc.)

 

  1.   Activity Coordinator-1 Family
    1. Assist and encourage the Campout Facilitator, Family Day/Park Day Facilitator, Calendar/Field Trip Facilitator, and Talent Show Planner.  

 

  1.   Campout Facilitator-2 Families, Facilitator and Ass’t Facilitator
    1. Select locations and make necessary arrangements for Fall and Spring Koinonia campouts.
    2. Set agenda for each campout (at least one group activity) and, if necessary, collect RSVP’s from Members.
    3. Communicate dates and events to the Field Trip/Calendar Facilitator and to the Communication Coordinator.      

 

  1.   Family Day/Park Day Facilitator-1 Family
    1. Make any and all arrangements for weekly Park Days and the monthly Family Day.
    2. Set agenda for Park Days and facilitate Family/Park Days.
    3. Schedule volunteers to monitor the younger children during Park Day. 
    4. Pick up items for Lost and Found.
    5. Plan Men’s nights out and Ladies nights out.
    6. Schedule events with Calendar Facilitator and provide details to Communications Coordinator. 

 

  1.  Field Trip/Calendar Facilitator-1 Family
    1. Compile and maintain a current Calendar containing all scheduled activities.
    2. Collects event and field trip planning forms and checks forms for accuracy and completion of forms.
    3. Coordinate all requested scheduling dates to prevent overlapping conflicts between group activities.
    4. Manages the yearly calendar
    5. Provides Park Day Facilitator with information for upcoming announcements. 
    6. Plan Field Trips when there are not two planned for a certain month.
    7. Communicate dates and events to the Communications Coordinator by the 2nd Park Day of each month.   If the Communication Coordinator is not available, then send the information to the Newsletter Typist.
    8. NOTE:  Anyone may plan a Field Trip, however, this is not considered a job.  This is an optional opportunity.  Also, any questionable field trips must be brought in front of the group for review.  (The Field Trip Coordinator will decide what is questionable.)          

 

14.  Talent Show Planner-1 Family

a.      Work with Calendar/Field Trip Facilitator to schedule one Talent Show annually.  Determine the date of the Talent show by September 1. 

b.      Locate a facility to use for the talent show.

c.      Advertise and publicize the talent show to the members.
